A process is a set of steps to follow to obtain a specific goal. A procedure is understood to be something that leads to the achievement of a product or service.
So, while a project is unique and comprised of a specific team of people at a particular time, a process may be used at the same time by an unlimited number of teams. Just follow this step-by-step guide. They use up the planned resources on the process at a time considered right and with a different team of people.
That’s why if your projects tend to always feature the pursuit of the same activities, you can convert them into a process. You alone can use this process privately or you can share it in the Sinnaps Process Store with whoever you want.
Why share a process?
Processes can be shared with the people you consider necessary. This way, they’ll be helping to improve your processes and will contribute their knowledge to achieve a top notch process; or, simply, we want to recommend it to a work colleague.
Here are some ideas, the goal being that your processes become the most popular!
… because we want to improve how our resources are managed.
… because we’re not sure which activity is linked to another.
… for teamwork on the process that we’re implementing in the company.
… to recommend the process to others.
… because we want it to get out there.
… to use particular aspects of the process in a project we’re currently working on.
You’re likely to think of many more reasons why you could share a process with other people. That’s why we’d like to hear all about it from you! 😉
Now you’ve got some ideas, we’ll tell you how to do it from your app.
How do you share processes in Sinnaps?
Sinnaps allows us the opportunity to share our process with other users without publishing it first. Using this option, we can invite whoever we want so they can see the process and help us develop it.
Note: it is important to be aware that process users are not acting as process resources – that only occurs in projects.
We can assign roles and responsibilities as resources in processes. We’ll be planning resources in the activities, under the name of manager, operator, administrator, secretary, etc. However, we can’t identify each Sinnaps role with a particular user.
This is one of the main differences in the concepts of process and project. As it is a procedure which can be used in various projects, the process work teams don’t have to comprise the same people.
We share our process through the Sinnaps Process Store (accessible through our profile).
So, we access the process we want and edit it.
We invite users or share our process with them by going to the team management panel (lower section of the process planning).
Write the user name of the people we want to share the process with. Then, we choose if we want to be Process Editors or Process Starters.
Process Editor: this if for users who can edit the process. The people we authorise for this can alter any feature of the process they feel needs changing.
Process Starter: we invite the users we want to start a project using our process.
Both parties receive an email notifying them of the invitation.
