Before we begin, in this article we’re going to examine some basic concepts that may help to speed up your learning. Here, at Sinnaps, we work hard every day to ensure your work tools are more intuitive.

Project Manager

There is at least one Project Manager (PM) in every project whose work is to plan and manage the project. The PMs are the only ones who can alter the planning, manage the team and make changes to the work flow. There are two ways of becoming a PM for a project:

– Every time a user creates a project, Sinnaps considers the creator of said project to be the Project Owner, someone with the same authorisations as a PM.

Activity

An activity is any of the work units defined in the project planning. Each activity is created through one or more objectives. What’s more, there is always an estimated duration assigned for their implementation.

Among Sinnaps activities, you can attach documents, assign people, create sub-tasks, chat, add labels to highlight work routes, plan and allocate resources and validate.

Human or global resources

Sinnaps enables you to manage both project costs and resources. Thus, Sinnaps considers users as a type of work resource, with a per hour economic value, which is added directly onto the activity to which the person has been assigned.

The Project Manager needs to invite a person to the project before they can be assigned an activity.

Team Member

Another of the basic concepts to highlight is the Team Member. This is any user who is involved in a project and is neither a Project Manager nor a Project Owner.

The user can always be a Team Member even when their role in the project changes. They can be project resources in and of themselves. An example of a Team Member that is not a resource would be a stakeholder or interested party that you need to access the project planning, though only to view it.

You can be invited into a project and you will automatically have the status of a Team Member. If you want to change your role in the team, visit Project Roles.

Project Owner

The person who creates the project. You can assign Project Manager (PM) responsibilities to another user or be the one who runs the project. Therefore, the permissions assigned are the same as those of the PM. Don’t forget: no user can eliminate them from their project.

Work flow

The project work flow is the succession of activities that comprise project planning and defines activity order and priorities.

It is important to note that in Sinnaps, project work flow is somewhat dynamic, i.e. it changes as the project evolves. Once we reflect this work flow on a calendar and give it some milestones and set dates, it is time to talk about planning.

Dynamic Standard

A standard project or process has a specific work flow with interdependencies between particular activities.

However, when we use a standard or process, the project work flow may vary, without previously having changed the dependencies between activities that, all in all, define the flow. These cases include, for example, if the duration of any of the activities should change dramatically, if the activity is eliminated, or if the activities are assigned set dates.

This means that different plans may be made based on the same dependencies and it is these latter which we can standardise to apply them to processes or work flows in future projects.

We call these standardised dependencies standard dynamics, another of the basic concepts we need to learn.
